Implementation Checklist

Use this to launch ServeHub across sales, field, and finance.

Day 0: Configure

  • • Set business time zone, currency, taxes, and branding.
  • • Add materials, labour rates, catalog items, and tax rates.
  • • Invite users; assign roles (Coordinator, Sales, Crew Lead, Tech).
  • • Connect email/SMS delivery for contracts and invoices.

Day 1–3: Build sales motion

  • • Create section-based estimates with margin targets.
  • • Prepare contract templates with placeholders.
  • • Test sending a contract to yourself; verify PDF/signature flow.

Day 4–7: Pilot job

  • • Convert a signed contract into a job; check copied items.
  • • Assign crew notes, schedule, and upload site documentation.
  • • Generate a deposit invoice; send via email/SMS.

Ongoing

  • • Monitor pipeline for pending contracts and invoices.
  • • Track job profitability and expense capture.
  • • Use reminders for overdue invoices and unsigned contracts.
