ServeHub Implementation Playbook

Step-by-step guides, checklists, and best practices to launch ServeHub and keep every department aligned—from sales to field to finance.

1. Prepare your workspace

Before inviting the rest of your team, configure foundational settings that power pricing, scheduling, and communication.

  • Update business hours, currency, and tax defaults.
  • Import customers via CSV or CRM integration.
  • Configure user roles (Coordinator, Sales Rep, Crew Lead, Technician).
  • Connect email/SMS sending domains for contract and invoice delivery.

2. Build your price library

Accurate pricing drives margin. Populate materials, labour rates, catalog services, and taxes before building estimates.

Checklist

  • • Add materials with unit cost, suppliers, and restock thresholds.
  • • Define labour tiers (Apprentice, Journeyman, Specialist) with hourly rates.
  • • Group services into reusable catalog bundles.
  • • Record regional tax rates and registration IDs for compliant invoicing.

3. Configure operational flows

Decide how ServeHub should behave when estimates are approved, jobs are completed, or invoices are overdue. Automations keep customers engaged without manual follow-up.

  • Automated approval emails with next-step instructions.
  • Job completion checklists, required photos, and attachments.
  • Invoice reminder cadence (3, 7, 14 days past due).
  • Escalation rules for unscheduled jobs or missing inventory.

4. Train your teams

Run a kickoff workshop with each department focused on daily workflows. Supplement with ServeHub Academy clips and internal SOPs.
